Bookkeeper (Full-time)

The Bookkeeper is responsible for supporting the Finance/Accounting Department. This position is full-time and works closely with the outside contracted accountant. The Bookkeeper reports to United Way of Passaic County’s President & CEO. This position is located in Paterson, NJ.

Key Responsibilities:

A.      Accounts Payable and Cash Disbursements

·       Process invoices (vendor bills, credit card, expense reimbursements, etc.) for payment

·       Enter transactions in QuickBooks

·       Ensure proper approvals on check requests and invoices

·       Verify account codes/class

·       Prepare checks for signatures

·       Reconcile monthly credit card statements and petty cash

·       Obtain form W-9 from new vendors

·       Maintain vendor information and paid invoice files

B.      Accounts Receivable and Cash Receipts

·       Enter deposits (cash, check and electronic receipts) in QuickBooks

·       Verify account codes/class

·       Apply checks to receivables, if applicable

C.       Donor database management

·       Recording new pledges

·       Recording checks and deposits

·       Running reports

·       Adding new donors

·       Managing designation payments


·       Personal qualities of maturity, humility, strong work ethic, and a roll-up-my-sleeves attitude.

·       Bachelor’s degree in accounting with 3-5 years of work experience in accounting is required.

·       Experience and/or demonstrated understanding of nonprofit accounting.

·       Proficient in QuickBooks, Excel and DonorPerfect.

·       Quickbooks certification is preferred

Salary: $20/hr to $23/hr, commensurate with responsibilities and experience
